This page explains what personal information I hold about you and your dog, why I hold it, how long I keep it, and what you can ask me to do with it.
Firefly Fidos is run by me, Daniel Phipps, a sole trader based in Winterbourne, South Gloucestershire. I am the data controller for the information described here.
You can contact me about anything on this page:
Email: info@fireflyfidos.co.uk
Phone or WhatsApp: 07512 684339
I am registered with the Information Commissioner's Office (ICO), the UK's data protection regulator.
If you enquire, I keep your name, your contact details, and whatever you tell me about your dog.
If you become a client, I also keep:
your address, and access arrangements such as where a key is kept or which gate to use
your dog's details: name, breed, age, temperament, what they are like with other dogs and people, and anything I need to know to keep them safe
your vet's practice, and your authorisation for me to seek treatment in an emergency
an emergency contact, usually a family member or friend
your consent choices for off-lead walking, travel in a vehicle, and photographs
a record of bookings, visits and payments
I only take photographs with your permission, and only ever of your dog. I do not photograph people, house fronts, or anything that identifies where you live.
I do not take card payments, so I never see or hold card details. Payments reach me by bank transfer or in cash, and my records show the amount and the date.
Client and dog records, and your vet and emergency contact details. These are what let me do the job safely. I hold them to carry out our agreement, and because your dog may need treatment if something happens while in my care.
Enquiry details. So I can reply to you and give you a price.
Payment and booking records. Because tax law requires it.
Photographs, and any marketing messages. Only with your consent, which you can withdraw at any time.
I do not sell your information, and I do not pass it to anyone for marketing.
I will share it:
with your vet, if your dog needs treatment while in my care
with my insurer, Simply Business, if there is an incident or a claim
with HMRC or my accountant, where tax law requires it
I also use everyday business tools, which means your information is stored on their systems:
Google, for email, calendar, file storage and this website
Proton, for business email
Microsoft, for file storage
Tally, which is the new client form you fill in
WhatsApp, owned by Meta, if that is how we message
Todoist, my to-do list, which holds reminders about jobs rather than your contact details
Anthropic (Claude), an AI assistant I use to keep my records, bookings and admin in order. It works on the same files described above, so it may process your details while I am running the business. It is not used to make decisions about you, and your information is not used to train it
Keys are stored separately from addresses, so a key on its own does not identify your house.
Client records: six years after your last booking, because HMRC requires business records to be kept for that long.
Enquiries that don't become bookings: deleted after twelve months.
Photographs: kept until you ask me to stop using them.
Photo permission is always yours to withdraw. Tell me and I will stop using the photo, and remove it from my website, Google profile and Facebook page. Anything already printed, or shared onward by someone else, is outside my control, but everything I publish comes down.
This site is hosted on Google Sites, so Google sets some cookies when you visit, and you will see Google's own cookie consent message. That message, and the choices on it, are Google's rather than mine. Google explains what it sets, and why, in its own privacy and cookie policies.
I don't add any analytics, advertising or tracking of my own, and I don't see who visits the site.
You can ask me to:
give you a copy of what I hold about you
correct anything that is wrong
delete your information, where I am not required to keep it for tax
stop using it for a particular purpose, such as photographs
Just ask, by email or message. I will respond within one month, and there is no charge.
If you are unhappy with how I have handled your information, please tell me first so I can put it right. You can also complain to the ICO at ico.org.uk, or on 0303 123 1113.
If what I hold, or how I use it, changes, I will update this page and change the date at the top.
